Calendar Subscription

Calendar subscription lets you sync your tour schedules to Google Calendar, Apple Calendar, Outlook, or any calendar app that supports iCal feeds. Once subscribed, your calendar updates automatically when schedules change - no manual exports needed.

Who can use it

  • Guides get a feed of their personally assigned tours.
  • Admins and operators get a feed of all tour schedules for the organization, with details like guide names, booking counts, and status.

Setting up a subscription

1. Generate a subscription URL

From the guide portal:

  1. Go to My Schedule.
  2. Click the Export button and select Subscribe to Calendar.
  3. Click Enable Subscription.

From the availability calendar:

  1. Go to Operations > Availability.
  2. Click the Subscribe button.
  3. Click Enable Subscription.

You will see one or two feed URLs depending on your role:

  • My Tour Schedule - your personally assigned tours (guides only).
  • All Tour Schedules - every tour schedule for the organization (admins and operators only).

2. Add to your calendar app

Google Calendar

  1. Open Google Calendar in a web browser (not the mobile app).
  2. On the left sidebar, click the + next to "Other calendars".
  3. Select From URL.
  4. Paste the feed URL and click Add calendar.

Google Calendar refreshes subscribed calendars roughly every 12-24 hours. New or changed schedules will appear after the next refresh.

TIP

Google Calendar only supports adding subscriptions from the web interface, not the mobile app. Once added, events will sync to all your devices.

Apple Calendar

Click the Open in Calendar button in the subscription dialog. This uses the webcal:// protocol which Apple Calendar recognizes and subscribes to automatically.

Alternatively, in Apple Calendar: File > New Calendar Subscription, then paste the feed URL.

Outlook

  1. Go to Settings > Calendar > Shared calendars.
  2. Under "Subscribe from web", paste the feed URL.
  3. Click Import.

3. What you will see

Each tour schedule appears as a calendar event with:

  • Title - the tour name (and option name, if applicable).
  • Time - start and end time in your organization's timezone.
  • Description - varies by feed type:
    • Guide feed: participant count and language.
    • Operator feed: guide name, booked/available spots, language, booking status, vehicle count, and schedule status.

The feed includes schedules from 30 days in the past through 90 days in the future.

Managing your subscription

From the same subscription dialog, you can:

  • Copy URL - copy the feed URL to paste into another calendar app.
  • Open in Calendar - open the webcal:// link directly (works best with Apple Calendar).
  • Regenerate - create a new URL. The old URL stops working immediately. You will need to update the subscription in your calendar app.
  • Revoke - disable the subscription entirely. The feed URL returns a not-found response and your calendar app will stop receiving updates.

Security

The subscription URL contains a unique token that grants read-only access to your calendar feed. Treat it like a password:

  • Do not share it with others unless you want them to see your schedule.
  • If you suspect the URL has been compromised, click Regenerate to create a new one.
  • Revoking the token immediately stops all access.

The token is separate from your login credentials. Changing your password does not affect your calendar subscription.
